Job Description:

The AV Purchasing Assistant will support the sourcing, ordering, and management of audio-visual equipment and supplies. This role includes coordinating with vendors, monitoring inventory levels, and ensuring the timely delivery of materials to facilitate our AV projects.

 

Qualifications:

Requirements:

  • Experience: At least 1 year of experience in purchasing or a related field.
  • Education: Bachelor’s degree in a business-related discipline.
  • Team Collaboration: Ability to work effectively with cross-functional teams.
  • Multitasking: Skilled at managing multiple projects simultaneously.
  • Technical Proficiency: Proficient in Microsoft Office Suite and purchasing software.
  • Communication Skills: Strong communication and negotiation abilities.

Knowledge:

  • Procurement Knowledge: Understanding of procurement processes and best practices.
  • Vendor Management: Familiarity with vendor and supplier management.
  • Inventory Control: Awareness of inventory control methods and stock management.
  • Technical Sourcing: Experience with sourcing and ordering technical equipment and materials.

Responsibilities:

  • Sourcing and Purchasing: Assist in sourcing and purchasing AV equipment, materials, and supplies based on project requirements.
  • Record Keeping: Maintain accurate records of purchases, pricing, and inventory levels.
  • Vendor Coordination: Work with vendors to obtain quotes, negotiate pricing, and ensure timely delivery of goods.
  • Order Tracking: Monitor orders and shipments to ensure they are accurate and delivered on time.
  • Delivery Inspection: Inspect deliveries for quality and accuracy, and address any discrepancies or issues.
  • Inventory Management: Assist in managing inventory levels and stock, aligning with project needs.
  • Team Collaboration: Collaborate closely with the AV team to understand equipment specifications and project timelines.
  • Documentation: Prepare and process purchase orders, invoices, and other procurement-related documents.
  • Vendor Evaluation: Support the evaluation and selection of new vendors and suppliers.
  • Compliance: Ensure all purchasing activities adhere to company policies and procedures.
  • Additional Duties: Perform other related tasks as assigned.
